BRIEF DESCRIPTION
These courses are suitable for those who wish to develop their skills in carrying out administrative tasks, as well as develop a better understanding of the commercial world.
The courses are suitable for complete beginners and those with some experience.
You can study this course through our distance learning/home study scheme and is tutor led.
Each course comprises 5 modules and to gain the full Certificate in Administration at that Level, you would need to pass all 5 modules.
In each course, 2 of the modules are assessed by set exams, and 2 of the modules are assessed in a work place environment and the fifth module is assessed through completion of an assignment submitted to us through the post for local assessment before submission to the OCR.
You will need to study between 5-10 hours per week on average and based on this study time the course will take approximately 3 months to complete.
You have an overall time limit of 6 months within which to complete the course.
Diplomas
If you have gained other qualifications eg Text Processing or CLAIT at the same level then you would be awarded a Diploma in Administration.

WHICH LEVEL IS RIGHT FOR YOU?
If you have been working (in any kind of job) for a few years but have little administrative experience then Level 2 would be suitable for you.
For those who have been working in a more demanding job for several years using administrative skills then Level 3 would be suitable as this level would develop your existing skills to cope with more demanding duties.

Level 2 (Intermediate)

The following provides a break down of the different topics covered at each level for each module.
Unit 1 - Composition of Business Documents
Level 2
Extending knowledge and skills in the composition of business correspondence involving more complex situations, analysing, extracting and adapting information provided. Composing and completing letters, emails, faces, forms, agendas, business reports, articles, job descriptions, leaflets, notices and advertisements.
Level 3
Producing a range of complex business documents including those covered at Level 1 and 2, plus instructions, guidance notes and presentation material. Evaluating, extracting and adapting complex information provided.
Assessment is by a set written exam held 3 times per year and marked by the OCR Examining Board.
Unit 2 - Dealing with Customers and working as part of a Team
Level 2
Developing skills in working with colleagues, carrying out complex tasks, planning and prioritising, working safely, meeting deadlines, reviewing own performance and the overall performance of the team.
Dealing with clients/customers including resolving difficulties, ensuring customers’ requirements have been met, following appropriate company procedure and conveying information clearly and accurately.
Level 3
Working with others as part of a team, assisting in planning, setting objectives, monitoring progress, reviewing the effectiveness of the team’s performance, making constructive suggestions, agreeing working arrangements with others, using initiative to solve problems where appropriate.
Interact effectively with customers/clients, identifying customer needs, use initiative in building effective working relationships involving pro-active approach, check customers’ requirements have been met and identify any follow up action that may be required.
Assessment is by the completion of witness statements covering a range of real life situations, such statements to be completed by supervisors in the work place. Students’ reports and analysis is also required to be submitted. OCR exam board will assess these documents.
Unit 3 - Business Organisations and Administration Duties
Level 2
Developing knowledge and understanding of the different types of businesses and how business organisations develop. Understanding about organisation aims and objectives and understanding how business organisations are structured.
Developing administrative planning skills, organisational skills, working flexibly, efficiently, how to improve own performance. Understanding the importance of the working environment, health and safety issues, employer’s responsibilities and the rights and responsibilities of both employers and employees and relevant legislation.
Level 3
Reviewing, analysing and comparing different forms of business organisations, mission statements and corporate objectives, evaluating the impact of external factors, reviewing and analysing the structure of business organisations, identifying and evaluating effective working practices.
Reviewing and evaluating the factors that affect workplace conditions, being alert to potential hazards, factors affecting job satisfaction, motivation and morale.
Assessment is by a set written examination held 3 times per year and marked by the OCR Examining Board.
Unit 4 - Office Procedures
Level 2
Identifying procedures for the storage and retrieval of information, both paper based and electronic, archiving material, dealing with confidential information, reproduction of information, sending and receiving email and faxes, stock maintenance and processing the post including specialised services.
Identifying the purpose of procedures and reviewing the ways in which procedures are implemented.
Level 3
Identifying and describing activities which require office procedures. Identifying ways in which procedures are effectively maintained, carrying out a review of office based procedures and evaluating the effectiveness of the procedures.
Identifying the different structures of procedures and their impact, suggesting improvements and designing new procedures, including costs and resource management, ways of implementing the revised procedure, training and development requirements and possible difficulties with new procedures.
Assessment is by completion of evidence sheets and witness statements after completing the required range of tasks. These documents are assessed by the OCR Examining Board.
Unit 5 - Computer Skills
Level 2
Developing word processing skills to produce a multi page document, import data from other applications, use mail merge features, password protection, editing documents and using file managements skills.
Level 3
Developing skills in being able to design, document and evaluate an IT solution against a given scenerio.
Creating an IT solution using Word, Excel, Access or a combination and then presenting an extensive document to support the solution, relate it to the given task, show evaluation and testing analysis.
Assessment is carried out by the completion of a set exam, available on a flexible basis and marked by the OCR Examining Board.

OCR Certificate in Administration Level 3
You will need Word to complete all modules and Microsoft Office to complete Level 3 Unit 5.
You will also need a computer with a printer and Internet connection.
